Speaker's Bureau Help

Note: When you add a presentation for a conference, two things happen:

  1. All of the information is stored in a database.
  2. Confluence pages are created for:
    • each conference where a Fermi presentation is being given by a known Fermi speaker; and for
    • each presentation that will be given at each conference.

The Fermi LAT Speakers Bureau website (see layout examples at bottom of this page) enables you to:

  • View Upcoming, Past, or All conferences, Seminars and Colloquia.
  • Filter meetings to include only those at which Fermi is presenting.
  • Add a new Conference, Colloquium, or Seminar
  • Add a new Presentation to a listed Conference, Colloquium, or Seminar.
  • Add your name to the volunteer speakers list.

Sorting a list: Note that by clicking on the any column head of any list of Fermi presentation, you can sort the table by that column data; you can also reverse the sort order by clicking on the up/down arrows at the right of the column head.

By clicking on a Conference link in the right-most column, you can:

  • view a list of Fermi presentations at that Conference;

then, by clicking on your Presentation in that list, you can:

  • Modify the details in the database,

or, by clicking on the link to your presentation in the Conluence Page column

  • add to or modify the information on that Confluence page.

Note: Details of a presentation can only be changed by the Presenter, System Admininistrator, or Speaker Bureau leaders. Science Group leaders can approve a talk or a poster. (See Administrative Privileges.)

Procedure to Add Presentation Information

  1. Click on Add New Conference & Presentation.
  1. Select the type of meeting: Conference, Colloquium, or Seminar.

One of the following three pages will be displayed:

Meeting Type: Conference

OR

Meeting Type: Colloquium

OR

Meeting Type: Seminar
  1. Enter the information requested for the type of meeting at which you are presenting, then click on the submit button.

Note: The database entry and the Confluence pages for tracking and updating your presentation information will be created automatically.

Notes — Administrative Privileges:

  • Speakers can update their own information, but only people included in the SpeakersBureauAdmin list can enter or change talk information for other people. All members of the Speakers Bureau are included in this group. When a member of this group enters or updates talk information, they will first see a pulldown list of people from which to choose the speaker. All non-administrators are automatically included in this list. Note that this list is visible only to the administrators.
  • Only people included in the SpeakersBureauAdmin list, or in the ScienceGroups managers list, can approve a talk or poster. An approval check box is displayed to members of these groups. All others will see a message stating either "approval pending" or "approved".

Notes — Legacy Information:

This new system works smoothly for new conference and talk entries; it does not work for past and upcoming conference pages that have already been entered into confluence. Therefore:

  • So that there will be records of legacy information in the database, abstracts and drafts of conference talks and that are listed in the Conference Contribution DRAFTS confluence page are being merged into the new system.

Using the information found therein, talk information is entered into the system. However, not all of the information maintained in the new system can be found in the existing legacy pages; in these cases, a best guess is made or an entry is left blank.

  • When legacy informatation is entered into the new system, no new confluence pages are created. Instead, URLs for the existing confluence page(s) are entered into the conference/talk record. Since the conferences usually have confluence "parent" pages listing abstracts and drafts; these pages are easily found and linked into the system. In cases where there are multiple drafts, or no drafts at all, the links are left blank.
